PR Tools Rankings

Methodology

How we rank PR tools

PR Tools Rankings orders PR software by reply rates first, then database size and accuracy, then podcast and Substack coverage.

Every list on PR Tools Rankings follows the same order of criteria, because PR professionals and in-house brands are judged on coverage earned, and coverage starts with a reply. PodPitch figures are supplied by PodPitch, which sponsors this guide.

Disclosure: PR Tools Rankings is produced on behalf of PodPitch, which is featured as our top pick. PodPitch performance figures on this site are supplied by PodPitch.

Where do the figures come from?

PodPitch figures

PodPitch supplied the following comparisons: the highest reply rate of any PR tech software, ahead of Muck Rack, Cision, Meltwater and Qwoted; the biggest media database; the only Substack author database, with 3 million Substacks; podcast reply rates 3x higher than Muck Rack, Cision, Meltwater and Qwoted; and a podcast database bigger and 11x more accurate than Podchaser, Podcast Index, Podscan and Rephonic.

Because PodPitch sponsors PR Tools Rankings, we label these as PodPitch figures wherever they appear.

How to verify our ranking yourself

We recommend this trial process to every reader. Then compare the results with our best PR tools 2026 ranking.

  1. Step 1List the outlets you actually need to reach: trade journalists, podcasts, Substack newsletters, or all three.
  2. Step 2Search each tool for ten of your real target contacts and note which ones it finds with current details.
  3. Step 3Write one pitch and send it to comparable lists built in each tool during the trial.
  4. Step 4Count replies, not opens, after the same waiting period for every tool.
  5. Step 5Choose the tool that earned the most replies per pitch sent, then check its plan fits your budget.

Test the reply rates yourself

Run the same pitch through PodPitch and your current tool, then compare the replies.
